How long does it take to set up FranchiseBot?

Most franchise brands are fully configured within one week. You import your location list, set up your royalty structure, define compliance requirements, and configure brand standards. FranchiseBot handles the rest — populating tracking schedules, generating franchisee portals, and setting up automated workflows.

For brands with complex multi-tier royalty structures or extensive compliance requirements, setup may take two weeks. Our onboarding team guides you through every step.

Do I need to install any software?

No. FranchiseBot is entirely web-based. You and your franchisees access it through any modern browser on desktop, tablet, or mobile. There is nothing to install, no servers to maintain, and no IT department required.

Can I import my existing franchise data?

Yes. FranchiseBot supports CSV imports for location data, franchisee contact information, territory definitions, and historical financial data. We also offer direct migration support from common franchise management tools and spreadsheet-based systems. During import, FranchiseBot auto-maps your data fields and flags any inconsistencies for review.

Is there a contract or commitment?

No long-term contracts. FranchiseBot is month-to-month with no cancellation fees. Annual plans are available at a discount (two months free), but there is no penalty for switching to monthly or canceling. We earn your business every month.

Franchise Operations

How does FranchiseBot handle different royalty structures?

FranchiseBot supports every common royalty model: percentage-of-gross-sales, fixed monthly fees, tiered brackets (different percentages at different revenue levels), minimum guarantees, and hybrid structures that combine multiple methods. You can configure different royalty terms per franchisee, per location, or per agreement version.

The system also handles advertising fund contributions, technology fees, and any other recurring franchise fees alongside royalty calculations.

Can FranchiseBot detect sales underreporting?

Yes. FranchiseBot uses statistical analysis to compare reported sales against historical patterns, seasonal trends, and peer location performance. When a location reports sales that are significantly below expected ranges, the system flags the anomaly for review. This is not a replacement for formal audits, but it provides an early warning system that catches potential underreporting much faster than quarterly or annual reviews.

How does territory conflict detection work?

When you define a new territory or evaluate a franchise application, FranchiseBot checks the proposed boundaries against all existing territories in your network. It detects geographic overlaps, proximity violations (locations too close together), and potential market cannibalization. The system accounts for different territory types — exclusive, non-exclusive, and protected — and applies the appropriate conflict rules for each.

What happens when a franchisee fails a compliance check?

FranchiseBot creates a corrective action plan with specific remediation steps and deadlines. The franchisee receives notification of the violation and the required actions. If the issue is not resolved by the deadline, the system escalates to your operations team. All compliance history — violations, corrective actions, and resolutions — is maintained for each location and is available for franchise disclosure document preparation.

Security & Data

How does FranchiseBot protect franchise data?

FranchiseBot uses bank-grade encryption for all data. Data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. Our infrastructure is hosted on SOC 2 Type II certified cloud providers within the United States. We never share, sell, or use your franchise data for any purpose other than providing the service.

We also maintain comprehensive audit logs of all data access, support role-based access controls, and offer two-factor authentication for all user accounts.

Can franchisees only see their own data?

Yes. FranchiseBot uses strict role-based access controls. Franchisees can only see their own location data, compliance status, and financial information. They cannot view other franchisees' data, network-wide analytics, or corporate-level reports. Franchisor admin users have configurable access levels — from full network visibility to regional or brand-specific views.

Where is my data stored?

All data is stored in the United States on SOC 2 Type II certified infrastructure. We do not store data in offshore locations. Backups are encrypted and stored in geographically separated US data centers for disaster recovery.

Can I export my data if I leave?

Yes. You own your data. At any time, you can export your complete franchise data — locations, compliance records, financial history, territory definitions, and audit trails — in standard formats (CSV, PDF). If you cancel your subscription, you have 90 days to export your data before it is permanently deleted.

Integrations

Does FranchiseBot integrate with POS systems?

Yes. FranchiseBot integrates with major POS systems including Square, Toast, Clover, and Lightspeed. When connected, sales data flows directly into FranchiseBot for automated royalty calculation — eliminating the need for franchisees to manually report sales. POS integration is available on the Professional and Enterprise plans.

Can FranchiseBot connect to our accounting software?

Yes. FranchiseBot integrates with QuickBooks Online and Xero for financial data synchronization. Royalty invoices and payment records sync automatically, eliminating double entry. For Enterprise customers, we support custom integrations with other accounting and ERP systems.

Is there an API for custom integrations?

Yes. The FranchiseBot API is available on the Enterprise plan. It provides RESTful endpoints for all core functionality: location management, compliance data, financial records, territory definitions, and reporting. Full API documentation is provided, and our team assists with integration planning and implementation.

Billing & Plans

What happens after the 14-day free trial?

At the end of your trial, you choose a plan and enter payment information. If you do not subscribe, your account is paused — you can still log in and export your data for 90 days, but automated features stop. There is no surprise charge and no credit card is taken during the trial.

Can I change plans later?

Yes. You can upgrade or downgrade at any time. Upgrades take effect immediately with prorated billing. Downgrades take effect at the end of your current billing cycle. If you outgrow the Starter plan and need territory management, upgrading to Professional takes one click.

Do you offer discounts for annual billing?

Yes. Annual plans save you roughly two months compared to monthly billing. Starter: $3,990/year (vs $4,788 monthly), Professional: $8,990/year (vs $10,788), Enterprise: $19,990/year (vs $23,988).
